Call for Volunteers

The Radford College Twilight Fete would not be possible if it was not for our parent volunteers.

The following are general responsibilities for volunteers that allocate time to assist the stall on Fete Day.

Fete Day 

Food Stall Volunteer Responsibilities

1. Arrive 5 minutes before your allocated volunteer time slot to receive handover. 

2. Follow the directions of the Stall Coordinator assigned to the food stall. You will be responsible for greeting guests, serving food and accepting payments. 

3. Prior to your allocated volunteer time slot, please read the Health & Hygiene rules for food handlers.

A copy of this fact sheet will be placed in the food stall. 

4. Volunteers who have allocated to assist in the final time slot of the day will need to be prepared to assist with packing down the stall. 

Market Stall Volunteer Responsibilities 

1. Arrive 5 minutes before your allocated volunteer time slot to receive handover. 

2. Follow the directions of the Stall Coordinator assigned to the market stall. You will be responsible for greeting guests, serving food and accepting payments. 

3. If you are volunteering on the Sweet and Sticky stall, please ensure you read the Health & Hygiene rules for food handlers. A copy of this fact sheet will be placed in the Sweet and Sticky stall. 

4. Volunteers who have allocated to assist in the final time slot of the day will need to be prepared to assist with packing down the stall. 

Lob-a-Choc Stalls Responsibilities 

1. Arrive 5 minutes before your allocated volunteer time slot to receive handover. 

2. Follow the directions of the Games Coordinator assigned to the game. You will be responsible for greeting guests, assisting players with sharing details of the game rules and overseeing the game and awarding winning chocolate bars that a coin successfully lands on. 

 

Game Rules 

It involves setting up blocks of chocolate (a variety of big and small) randomly on a wire grid.

Players stand behind a line and throw coins, trying to land them on the chocolate blocks.

If they are successful, the chocolate is theirs. If not, their money will fall through the wire and is yours.

Thursday 30 October and Friday 31 October preparation before Fete Day 

Volunteers who allocate to assist with preparation the couple of days before the fete will be directed by the Fete Convener to assist with various market stall set ups within T.B. Millar Hall. This will include the setup of tables, clothing racks, display of clothes, books and depending on donations, the Sweet and Sticky stall. 

The Fairy Floss Stall requires assistance to pre-bag fairy floss and the Sweet and Sticky Stall requires baking. We have times available on Friday 31 October for volunteers to fulfil these activities at the college.

 

Full instructions and assistance will be provided to volunteers that a new to volunteering for this activity. It is a really fun activity and a great way to give back to the community! 

How our Volunteers are supported:

 

1. Each volunteer will be contacted prior to the day of the fete by the Fete Convener. The Fete Convener will advise volunteers of the location of the stall, confirm the time, and who their stall coordinator is and contact details. 

2. A Stall Coordinator is assigned to each stall at the fete and is responsible for the following:

● Store setup to completion of pack down on the day of the Fete.

● Money on fete day as follows: obtaining the float from treasury, sending money back to treasury throughout the day as required and finalising money at the end of the day.

● Square readers which will be provided and set-up for cashless payment on the day. Instructions on use will be provided.

● Managing volunteers on the day and assisting with seeking volunteers to sign up for the stall prior to the Fete.

● Ensuring all volunteers working with food read and comply with the ACT Department of Health Guidelines (these will be provided).

● Ensure a safe working environment at the stall and raise/action any safety concerns.​

 

3. Radford College Parent & Friends Committee Members are responsible for assisting the Stall Coordinators s in the lead up and on Fete Day.

4. We are looking for the following stall coordinators: 

Lob-a-Choc Stall Coordinator

 

Purpose: To manage and run the popular Lob-a-Choc game, ensuring it is safe, fun, and engaging for all participants.
Key Responsibilities:

  • Set up and pack down the stall.

  • Oversee volunteers on Fete Day.

  • Oversee the collection and distribution of prizes.

  • Monitor safety and ensure fair play.

  • Manage float and handle cash responsibly.

 

ELC Healthy Options Food Stall Coordinator

 

Purpose: To provide healthy food choices for fete visitors, with a focus on younger children and families.


Key Responsibilities:

  • Oversee stall on Fete Day – Popcorn and Fruit Cups to be served.

  • Oversee volunteers on Fete Day and how food is handled and served.

  • Ensure stall is compliant with food safety requirements.

  • Monitor stock levels and restock as needed.

  • Manage float, cash handling, and EFTPOS if applicable.

  • Pack down and ensure food waste is disposed of properly.

Second-Hand Uniform Stall Coordinator

 

Purpose: To manage sales of quality second-hand uniforms, providing affordable options to families while raising funds.
Key Responsibilities:

  • Set up the second-hand uniform stall – from stock that has been donated.

  • Oversee volunteers on Fete Day.

  • Keep stall tidy and organised throughout the fete.

  • Manage float, cash handling, and EFTPOS if applicable.

  • Pack down, with clear process for unsold items (return, store, or donate).

 

Sweet and Sticky Stall (Baked Goods) Coordinator (Role has been filled) 

 

Purpose: To run the stall selling cakes, slices, and sweet treats donated by families.


Key Responsibilities:

  • Collect, label, and display donated baked goods.

  • Ensure items are labelled for allergens (nuts, gluten, dairy, etc.).

  • Oversee volunteers on Fete Day.

  • Keep the stall looking inviting and well-stocked.

  • Manage float, cash handling, and EFTPOS if applicable.

  • Oversee pack down and donation of leftovers (if appropriate).

  • Arrange a team to bake the day before the Fete.​

 

Second-Hand Books Stall Coordinator (Role has been filled) 

 

Purpose: To manage sales of quality second-hand books
Key Responsibilities:

  • Set up the second-hand uniform stall – from stock that has been donated.

  • Oversee volunteers on Fete Day.

  • Keep stall tidy and organised throughout the fete.

  • Manage float, cash handling, and EFTPOS if applicable.

  • Pack down, with clear process for unsold items (return, store, or donate).

 

Beer Garden Coordinator (RSA Required) (Role has been filled) 

 

Purpose: To manage the beer garden, ensuring it runs smoothly, safely, and in line with Responsible Service of Alcohol (RSA) requirements.


Key Responsibilities:

  • Hold a current RSA qualification and act as the responsible person in charge.

  • Set up and oversee service of alcohol in designated beer garden area.

  • Ensure all staff/volunteers serving alcohol are briefed on RSA compliance.

  • Monitor patrons for responsible consumption and safety.

  • Coordinate volunteers for bar service and cleaning.

  • Manage float, cash handling, and EFTPOS if applicable.

  • Oversee pack down and secure storage of alcohol.
